Check in Status

Check in Status

Check-in status

Check-in status is a new field at the booking level that reflects whether the guest has arrived, redeemed, or been admitted to the booked experience. It is separate from booking creation and separate from payment collection.

Why this matters

  1. A guest can be paid and confirmed but still not checked in yet.
  2. A guest can be checked in only once the operational check-in step is completed.
  3. Check-in status should be updated by the Activate user when the customers have already used, redeemed, attended, or arrived for the experience.

Check-in options

Available check-in statuses are:

  1. PENDING: The initial status. The experience has not yet taken place, and no check-in action has been recorded.
  2. CHECKED IN: The guest has arrived and been admitted to the experience. The Activate user has confirmed their attendance.
  3. CHECKED OUT: The guest has completed and left the experience. The check-in process is fully closed.
  4. NO SHOW: The guest did not arrive for the experience and was not checked in by the Activate user.
  5. OVERDUE: The experience date or time has passed, but the guest has not yet been checked in or marked as a no-show.

How does it work?

On the booking page, this field is an editable dropdown filter that follows specific workflows:
    1. Pending can only move to Checked in or No Show
    2. Checked in can only move to Checked out or Overdue
    3. No Show can move to Checked in.
    4. Default value is Pending
A warning message will appear when the user tries to change the check-in status, confirming the action before applying it.

Each status change creates a history log entry containing:
    1. User: Who changed the status
    2. Timestamp: Date and time of the change
    3. New Status: The updated booking status
