Creating a Manual Booking

Creating a Manual Booking

What is a Manual Booking

A manual booking is an associate-assisted reservation created directly in Activate instead of through the standard online guest booking flow. It allows an authorised user to select the product, date, participants, pricing and payment options on the guest’s behalf, while recording the booking as manual for operational visibility, reporting and audit purposes.

How to Create a Manual Booking

  1. Navigate to the Bookings module
  2. Click on Create Booking (Top right corner of your screen)
  3. Select the product, date, time, participants, and any extras.
  4. Review the availability and displayed pricing.
  5. At this stage, you can override the base price by clicking on the pencil icon on the right-side panel.
  6. Enter your guest's information.
  7. If you are creating a booking for your own staff's internal use, you can select the internal Booking flag checkbox.
  8. Additional Notes: Add any additional information for operational context that should be retained with the booking.
  9. Review the final booking summary and click Create Booking.
  10. You will see a success screen where you can click on VIEW BOOKING or CREATE ANOTHER

Manual confirmation exception: A manually created booking is treated as confirmed even when the confirmation method of the experience is set to MANUAL, because the associate is expected to have verified that the booking can be fulfilled. The product’s Manual Confirmation setting does not place a manual booking into Pending Confirmation.

What Can You Do with Manual Bookings

  1. Create a booking without collecting card details directly from the guest.
  2. Send a secure payment link when payment is required.
  3. Override stop-sale restrictions when an authorized user confirms the exception.
  4. Adjust the scheduled rate, including discounted, complimentary, and zero-value bookings.
  5. Mark a booking for internal use and exclude it from reporting by default.
  6. Distinguish manual bookings from regular online bookings.
  7. Add notes during the manual booking creation that appear on the booking’s Notes tab.
  8. Identify manual-booking behavior and decisions through booking details, reporting fields, and logs.
